Choose your booking type
Suggested reservation type: Classes + Appointments. Parents book children, courses run for a term and tutoring runs as appointments — so Classes and Appointments are both on.
Tick Classes and Appointments under Settings → Configuration → Reservation type. Using more than one booking type needs the All bookings custom feature (switch it on at /admin/custom-features); the same three checkboxes then also appear under Custom Features → All bookings. The choice is saved for the selected location.
Create your classes and services
Start with these:
- Group lesson — 60 minutes, price 600
- 1-on-1 tutoring — 60 minutes, price 1200
Group lesson is a timetable class; 1-on-1 tutoring is the same class type with Open for appointments on. The close buffer gives the tutor time to write notes.
Classes are created once and then scheduled from the Calendar; prices here are per visit.
An appointment service is a class with Open for appointments switched on, edited at /admin/appointments/classes/:classId. In its Settings pill start from: default duration 60 minutes, Time frame 30 min, Buffer time - Open 0 min, Buffer time - Close 10 min, and Working Hours matching your opening hours. Connect staff to the service at /admin/appointments/connect and set each person's hours at /admin/appointments/instructors/:customerId.
Schedule your timetable and set the booking flow
Schedule group classes from the Calendar as one-off, recurring or course (enrol for the whole series). Schedule Group lesson as a course that runs the whole term from the Calendar; one-off classes work for trial lessons.
For the appointment services:
Under /admin/appointments/settings → Booking flow, order the steps Instructors → Classes → Date:
- Instructors: Enabled + Required
- Classes: Enabled + Required
- Date: Enabled + Required
Tutoring is tutor-led: the parent picks the tutor first and the step is required, then the subject as a required service, then a date — a child always sees the same tutor.
Passes and payment
Create these under /admin/passes (a visit pack is a number of visits plus validity days; a membership is a duration):
- Term (12 lessons) — visit pack, 12 visits, valid 120 days, price 6600
The term pass covers one group lesson a week; tutoring is paid per visit.
Cancellation window: under Settings → Reservation allow customer cancellation with a cutoff of 24 hours before the start (the field takes minutes, so enter 1440).
Customers and features
Dependents: Turn dependents on under Settings → Customer so a parent enrols each child from one account.
Custom features to switch on at /admin/custom-features (each uses a feature point):
- Client Intake Forms — records the student's level and goals before the first lesson.
- Integrations — syncs tutoring sessions to each tutor's Google Calendar.
- Embedded Booking Widgets — embeds the timetable in your school website.
- Courses — sells the whole term as one enrolment.

Do it with the assistant
