Children booked as dependents into term-long courses, adults in a squad class, lanes as equipment and a ten-lesson term pass.

Choose your booking type

Suggested reservation type: Classes. Children as dependents, lanes as equipment and term-long courses are all timetable features — a Classes setup.

Set it under Settings → Configuration → Reservation type: tick Classes and leave the other boxes off. The choice is saved for the selected location.

Create your classes

Start with these:

  • Learn to swim (kids) — 45 minutes, price 600
  • Adult squad — 60 minutes, price 500

Both are group classes on the calendar. For one-to-one stroke correction create a class with Open for appointments on and start from the defaults below.

Classes are created once and then scheduled from the Calendar; prices here are per visit.

An appointment service is a class with Open for appointments switched on, edited at /admin/appointments/classes/:classId. In its Settings pill start from: default duration 45 minutes, Time frame 30 min, Buffer time - Open 0 min, Buffer time - Close 0 min, and Working Hours matching your opening hours. Connect staff to the service at /admin/appointments/connect and set each person's hours at /admin/appointments/instructors/:customerId.

Schedule your timetable

Schedule group classes from the Calendar as one-off, recurring or course (enrol for the whole series). Schedule Learn to swim (kids) as a course that runs the whole term, and Adult squad as a recurring class. Lane units cap each class and the waiting list collects late enrolments.

If you add a private service, set its flow under Booking flow:

Under /admin/appointments/settings → Booking flow, order the steps Instructors → Date:

  • Instructors: Enabled + Required
  • Date: Enabled + Required
  • Classes: disabled — the customer never sees this step

One-to-one lessons are coach-led: the parent picks the coach, then a date; the Classes step is disabled because each coach offers one private lesson type.

Passes and payment

Create these under /admin/passes (a visit pack is a number of visits plus validity days; a membership is a duration):

  • Term pass (10) — visit pack, 10 visits, valid 90 days, price 5500

The term pass covers one lesson a week for the term; adult squad drop-ins pay per visit.

Cancellation window: under Settings → Reservation allow customer cancellation with a cutoff of 12 hours before the start (the field takes minutes, so enter 720).

Customers and features

Dependents: Turn dependents on under Settings → Customer so a parent enrols each child from one account.

Custom features to switch on at /admin/custom-features (each uses a feature point):

  • Branded Booking Website — lets parents browse the term timetable and enrol.
  • Developer API — feeds enrolments into your school management system.
  • Equipment — caps each class at the number of lanes.
  • Courses — sells the whole term as one enrolment.

Worked examples for this business: Equipment for a Swim School (Equipment → Items) and Appointment add-ons for a Swim School (Appointments → Addons).

Do it with the assistant

The admin AI assistant reads this playbook and can set the business type, create services and classes, passes, link instructors, set working hours, buffers and the time frame, and enable features — every change is shown for approval before it is saved. Try:

  • “Create a Learn to swim (kids) course, 45 minutes, 600 per lesson, every Saturday for the term.”
  • “Add a Term pass (10): 10 visits, 90 days, 5500.”
  • “Enable dependents so parents can enrol their children.”
