One pole per student caps every class, waivers are collected at registration, and small classes fill from waiting lists with an eight-class pack.

Choose your booking type

Suggested reservation type: Classes. One pole per student caps the class, waivers are signed at registration, and small classes fill from waiting lists — a Classes setup.

Set it under Settings → Configuration → Reservation type: tick Classes and leave the other boxes off. The choice is saved for the selected location.

Create your classes

Start with these:

  • Beginner pole — 60 minutes, price 600
  • Flexibility — 60 minutes, price 500

Both are group classes on the calendar. For private choreography sessions create a class with Open for appointments on and start from the defaults below.

Classes are created once and then scheduled from the Calendar; prices here are per visit.

An appointment service is a class with Open for appointments switched on, edited at /admin/appointments/classes/:classId. In its Settings pill start from: default duration 60 minutes, Time frame 30 min, Buffer time - Open 0 min, Buffer time - Close 0 min, and Working Hours matching your opening hours. Connect staff to the service at /admin/appointments/connect and set each person's hours at /admin/appointments/instructors/:customerId.

Schedule your timetable

Schedule group classes from the Calendar as one-off, recurring or course (enrol for the whole series). Schedule Beginner pole and Flexibility as recurring classes from the Calendar; use a course for a progressive beginners series. Pole units cap the headcount and the waiting list fills released spots.

If you add a private service, set its flow under Booking flow:

Under /admin/appointments/settings → Booking flow, order the steps Instructors → Date:

  • Instructors: Enabled + Required
  • Date: Enabled + Required
  • Classes: disabled — the customer never sees this step

Privates are instructor-led: the student picks the instructor, then a date; the Classes step is disabled because each instructor offers one private session type.

Passes and payment

Create these under /admin/passes (a visit pack is a number of visits plus validity days; a membership is a duration):

  • 8-class pack — visit pack, 8 visits, valid 60 days, price 4000

The pack suits a student coming twice a week; single classes are paid at booking.

Cancellation window: under Settings → Reservation allow customer cancellation with a cutoff of 12 hours before the start (the field takes minutes, so enter 720).

Customers and features

Dependents: Dependents stay off — students book under their own accounts.

Custom features to switch on at /admin/custom-features (each uses a feature point):

  • Passes & Credit Packs — sells the class pack and deducts it automatically.
  • Automated Waitlists — fills poles released by cancellations.
  • Registration Forms — collects the waiver and injury history at sign-up.
  • Equipment — caps each class at the number of poles.

Worked examples for this business: Equipment for a Pole Studio (Equipment → Items) and Appointment add-ons for a Pole Studio (Appointments → Addons).

Do it with the assistant

The admin AI assistant reads this playbook and can set the business type, create services and classes, passes, link instructors, set working hours, buffers and the time frame, and enable features — every change is shown for approval before it is saved. Try:

  • “Create a Beginner pole class, 60 minutes, 600, every Monday and Wednesday.”
  • “Add an 8-class pack: 8 visits, 60 days, 4000.”
  • “Enable Equipment and cap classes by poles.”
