Choose your booking type
Suggested reservation type: Classes. Parents book children as dependents into fixed weekly classes, revenue is a recurring membership, and loyalty points track belt progress — a Classes setup.
Set it under Settings → Configuration → Reservation type: tick Classes and leave the other boxes off. The choice is saved for the selected location.
Create your classes
Start with these:
- Kids BJJ — 45 minutes, price 400
- Adults Muay Thai — 60 minutes, price 500
Both are group classes on the calendar. For private grading or sparring sessions create a class with Open for appointments on and start from the defaults below.
Classes are created once and then scheduled from the Calendar; prices here are per visit.
An appointment service is a class with Open for appointments switched on, edited at /admin/appointments/classes/:classId. In its Settings pill start from: default duration 60 minutes, Time frame 30 min, Buffer time - Open 0 min, Buffer time - Close 0 min, and Working Hours matching your opening hours. Connect staff to the service at /admin/appointments/connect and set each person's hours at /admin/appointments/instructors/:customerId.
Schedule your timetable
Schedule group classes from the Calendar as one-off, recurring or course (enrol for the whole series). Schedule Kids BJJ and Adults Muay Thai as recurring classes from the Calendar; use a course for a belt-grading series. Keep the cancellation window short so parents can fix a change of plan on the day.
If you add a private service, set its flow under Booking flow:
Under /admin/appointments/settings → Booking flow, order the steps Instructors → Date:
- Instructors: Enabled + Required
- Date: Enabled + Required
- Classes: disabled — the customer never sees this step
Private sessions are coach-led: the member picks the coach, then a date; the Classes step is disabled because each coach offers one private session type.
Passes and payment
Create these under /admin/passes (a visit pack is a number of visits plus validity days; a membership is a duration):
- Monthly membership — membership, 30 days, price 2500
The membership bills every month and covers all classes; single sessions are the exception, paid at the desk.
Cancellation window: under Settings → Reservation allow customer cancellation with a cutoff of 6 hours before the start (the field takes minutes, so enter 360).
Customers and features
Dependents: Turn dependents on under Settings → Customer so a parent books two children from one account.
Custom features to switch on at /admin/custom-features (each uses a feature point):
- Loyalty & Rewards — awards points per class toward belt tests and gear.
- Memberships & Subscriptions — bills the monthly membership automatically.
- Integrations — syncs the class schedule to the coaches' Google Calendar.
- Registration Forms — collects the waiver and emergency contact at sign-up.

Do it with the assistant
The admin AI assistant reads this playbook and can set the business type, create services and classes, passes, link instructors, set working hours, buffers and the time frame, and enable features — every change is shown for approval before it is saved. Try:
- “Create a Kids BJJ class, 45 minutes, 400, every Saturday morning.”
- “Add a Monthly membership for 30 days at 2500.”
- “Enable dependents so parents can book for their children.”
