Meet Obie the Admin AI Assistant

Obie is the AI assistant built into your OceanBooking admin. Learn who can use it, what it can help with, how approvals and audit records work, how to personalize it, and how to hide or show it.

What Obie is and who can use it

Obie is the AI assistant inside your signed-in OceanBooking admin. It is separate from the customer-facing AI Chatbot: customers do not see Obie or your admin conversations.

During the current rollout, Obie is available to account admins. We plan to make it available to more team members soon. As access expands, each person will still be limited by their own role and permissions—Obie does not give anyone extra access.

What you can use Obie for

Select the round Obie button in the lower-right corner of the admin. Obie opens in a panel in the corner of whatever page you are on—on a phone it opens as a full-screen sheet instead. Type or speak naturally—you do not need to learn special commands.

Day-to-day questions and tasks all happen in that panel. On wider desktop screens the panel header has an Expand button that makes the panel larger in place, and a Collapse button to bring it back to its usual width. You can also drag the panel's left edge to resize it, and your chosen width is kept.

First-time studio setup is the one thing that does not run in the panel: it has its own guided setup page, which you can open from the panel or go to directly. Because of that, the panel no longer offers a Continue onboarding option, and your dashboard no longer shows a setup progress bar across the top.

The only guided walkthroughs that run inside the panel are page tours of your admin. While a tour is running, the panel header shows tour actions such as Close tour, and Skip onboarding or Close tour ends the current page tour. The header no longer has a Start over button, and there are no in-chat setup steps such as No thanks.

If a chat used to be stuck in setup: a conversation that was left partway through the old in-chat setup now opens as a normal conversation. To carry on setting up your business, continue from the guided setup page. Old saved setup progress also no longer stops New features from opening—it opens straight away.

When you finish guided setup, Obie appears just above its button in the lower-right corner and offers a short System tour of the system, View tours for the full list of tours, or Ask a question to open the panel and keep talking. Opening the panel dismisses the invitation.

Here is what you can ask Obie to do. What is available depends on your own permissions and on the features and booking types your business has turned on—if something is not available, Obie will tell you.

  • Find your way around—ask how a feature works, open a help article, go straight to the right admin page, fill in the form on screen for you to check and save, or start a guided tour.
    Try: "Where do I change how late customers can book? Take me there." · "Give me a tour of the Shop."
  • Customers and family members—find, add, and edit customers, lock or unlock a customer's booking, add or edit family members or remove several at once, and import customers from a spreadsheet or photo.
    Try: "Add Leo as Anna Chen's son." · "Lock Ken's booking until he settles his balance." · "Import the customers in this spreadsheet."
  • Classes and schedules—create classes, weekly or fortnightly repeating classes, multi-week courses, and one-off sessions; change capacity, move or cancel a session, swap the instructor or room, and add session notes or announcements.
    Try: "Add Yoga every Monday at 9:00 and Wednesday at 18:00 starting next week." · "Can Emma cover Tuesday's 9am class?" · "Cancel this Friday's 7pm class."
  • Bookings and attendance—see who is booked, book a customer or family member into one class or up to 50 classes with a single approval, remove a booking, and take roll call.
    Try: "Book Amelia into the next four Tuesday 7pm classes." · "Who is booked into Saturday's 10am Pilates?" · "Mark Ken as a no-show for this morning's 9am class."
  • Appointments—book, move, or cancel appointments for customers, set service hours and buffers, set a practitioner's weekly hours and days off, and find out why a time cannot be booked.
    Try: "Why can't customers book 18:10 on Monday?" · "Book Mary a massage with Lin on Thursday at 3pm." · "Lin is off next Friday."
  • Passes—issue, extend, adjust, cancel, merge, transfer, or convert a customer's pass, pause a customer's passes, and use a pass to cover unpaid bookings in one go.
    Try: "Extend Ken's 10-class pass by two weeks." · "Merge Ken's duplicate passes." · "Use Lisa's new 10-class pass to cover her unpaid bookings."
  • Reports and customer lists—run reports such as revenue, pass sales, attendance, cancellations, instructor sessions, churn, and retention, and get lists of real people to follow up—lapsed members, passes about to expire, birthdays, top attendees, and more.
    Try: "Show revenue by month this year." · "Who hasn't come in for 60 days?" · "Whose passes expire this month?"
  • Find out what went wrong—check why a coupon failed, why a customer didn't receive an email or intake form, or why the gate turned someone away; see who changed what in the Activity Log; and restore records deleted in the last three months.
    Try: "Why did coupon SPRING fail for John?" · "Who changed the price of the 10-class pass?" · "Restore Thursday's deleted class."
  • Settings and features—update business settings, locations, tags, instructors, promotions, loyalty rewards, shop products and stock, intake forms and waivers, app, LINE, and email notifications, and the Q&A your customer-facing AI Chatbot answers with; turn custom features on or off.
    Try: "Create a 20% off coupon for new members this month." · "Add a chatbot answer about parking." · "Resend Mary's booking confirmation email."
  • Work with what's in front of you—ask about the page or filtered table on screen, or attach an image—such as a screenshot or a photo of a timetable—for Obie to read.
    Try: "Summarize the customers in this table." · "Set up these classes from this timetable photo."
  • Browse new features—choose the New features shortcut, or ask "What are the latest highlighted new features?", to see recent highlighted releases as cards. Select Show more to see older ones, or open a card to learn more, take its tour, or open its page.

Anything that changes your data is shown to you for approval first. When you ask for several changes at once—such as booking a customer into multiple classes—Obie shows them together in one list, so you review and approve once.

Finishing a guided tour: at the last stop, select Done. If the completion could not be saved, a message appears; select Done again to retry. The completion card then lets you Retake tour, Browse tours to pick another one, and rate that attempt with one to five stars and an optional note. Each attempt is rated separately.

A dot on the Obie button means there is something waiting for you—the invitation shown after setup, or a guided tour assigned to you that you have not finished yet.

Obie's capabilities continue to expand. If a request is not supported, it should explain the limitation and direct you to the correct page or help resource.

Approvals, permissions, and recorded actions

Obie works as the signed-in person and follows that person's existing OceanBooking permissions. You cannot use Obie to bypass a role restriction.

Reading information does not normally require approval. Before Obie changes business data, it shows the proposed action or form so you can review it. Actions that are sensitive, destructive, or difficult to reverse require explicit confirmation. Read names, dates, amounts, and the proposed changes carefully; you can cancel or ask for changes instead of approving.

When a form asks you to choose a family member of a customer, it offers a searchable list limited to that customer's family members, so you cannot pick someone belonging to a different customer. Change the customer on the form and the family-member list clears and reloads for the new selection. The summary Obie shows you before acting displays the person's name rather than a record number, so you can check you chose the right person.

Every action Obie attempts is recorded, including its result or failure, in the assistant's audit and session history. Changes made to business data are also written to the usual activity or change history where applicable, with details such as the actor, time, and before-and-after values. Conversations are saved so work can be reviewed and continued.

Do not paste passwords, payment-provider credentials, API secrets, or other login secrets into chat. Obie should direct you to the secure settings page when credentials are required.

Change Obie's name and image—just ask

You can personalize the signed-in admin assistant from the conversation. Try asking "Change your name to Miso" or "I want to change your image." Obie will show the available avatar and personality styles and the exact change for you to approve. Admin-assistant names can contain up to six characters.

Changing Obie's identity affects the admin assistant only. It does not change the separate customer-facing AI Chatbot name, image, or personality.

Hide or show Obie

  1. Select your profile picture in the admin title bar.
  2. In the row showing your payment plan, select the round Obie image immediately to the left of the language flag.
  3. The image becomes faded and the floating Obie launcher and panel are hidden. Select the faded image again whenever you want to show Obie.

Hiding Obie does not disable the assistant, delete conversations, or affect the customer-facing AI Chatbot. The preference is saved in this browser and applies across every business you administer here; other browsers and devices keep their own preference.

If an important new-feature announcement is available while Obie is hidden, Obie may appear temporarily to show it. Dismiss the announcement—or finish the panel or guided tour opened from it—and your hidden preference automatically takes effect again.

Tips for working with Obie

  • Be specific about the customer, class, pass, location, date, and time you mean.
  • Ask Obie to explain its proposed change if anything is unclear before approval.
  • Correct Obie immediately if it selected the wrong record or misunderstood your goal.
  • For important work, check the result on the relevant admin page or in the Activity Log.

Obie is there to reduce repetitive admin work while keeping you in control of every change.

Save personal Favorites

Use the star beside a message you sent, or beside an assistant form, to save a Favorite. A small popover suggests a short AI-generated name, with a relevant emoji when possible. You can edit it before saving. Names can contain up to 60 characters and prompts up to 1,000 characters. Your Favorites appear first in Popular actions → User favorites in both the small assistant panel and the full chat. They belong to your signed-in account in this business and are available on your other devices; other staff members and other businesses have their own Favorites.

Saved text: review or edit the prompt before saving. Selecting it sends that text to Obie, which interprets the request and follows its normal permissions and approval steps. Attachments are not saved.

Saved forms: save an assistant form to reuse its questions, choices and field structure. Review the saved task as well as its short name. Opening the Favorite presents the form without asking you to describe it again. Previous answers, preselected values, uploaded files and approvals are not saved. Forms that need current records may first collect or refresh those records. Submit your new answers to continue through Obie's normal validation, permissions and approval steps; opening a Favorite does not approve a change.

A saved message or form has a solid yellow star. Hover over it to see "Remove from favorites", then click to remove it. Use the edit button beside a User favorite to rename it, change its saved task, or remove it. The built-in preset actions remain available below your personal Favorites.
