Zones and Pods
Create Therapy Zone (three units, capacity 6, Exclusive, Required) for group work and Hydro Pod (four units, capacity 1, Exclusive, Required) for individual hydrotherapy. Link zones to the group classes and pods to the appointment services.
Small Group Mobility (Group Class)
Scheduling Small Group Mobility (size 6) reserves Zone 1; its six participants share that zone. A second mobility session at the same time gets Zone 2. The pods are untouched by group sessions because they are linked only to the appointment services.
Because this is a group class on the calendar, each session reserves one unit of every required, exclusive item when it is scheduled — before anyone books. Attendees are placed on that unit in turn and never pick it; once it is full the next attendee moves to the next free unit (choosing it themselves if the group is Customer Choice). When no unit is free, the session reads as full even if seats remain.
Individual Hydrotherapy (Appointments)
Each Hydrotherapy Session booking takes one pod for its duration. Four pods, four concurrent clients; the fifth booking at that time is refused because the required equipment is fully booked.
For an appointment service every booking is its own session: an exclusive unit is taken whole by the booking that reserves it, and a shared unit is filled by other bookings at the same time up to its capacity.
Flotation Belts and Resistance Kit
Flotation belts and resistance paddles are Optional, Hidden items — added to a booking when wanted, never a limit.
Standalone Hire
On the Hydro Pod item open Advanced → Standalone hire, turn on Available for standalone hire and set Block duration 30 minutes, Price per block $600, Time frame 30 minutes, Buffer time - Open 10 minutes, Buffer time - Close 20 minutes and Hire hours 09:00–20:00 Monday to Friday, weekends Closed. Clients cleared for self-guided hydrotherapy can then hire a pod; the buffers give staff time to prepare and clean it. The hidden hire service has capacity 4 (four active pods × capacity 1).
On the Hire page a client picks Hydro Pod and a start time; Duration +1 makes it an hour, shown as Additional time, and the plus button is disabled while a Hydrotherapy Session holds the next block, buffers included. Hire is paid in full at booking by the price per block — no passes, and the item's ordinary Price does not apply — and needs Equipment hire among your booking types. You can also ask the assistant to change these settings.
Checking Allocations
Open Equipment → Allocations — the first tab — to see who holds each zone and pod. The columns are Equipment, Unit, Customer, Class, Start time, End time and Capacity used; a Session badge marks a unit held for a whole class session. Filter by Class (Small Group Mobility, Hydrotherapy Session), Equipment (Therapy Zone, Hydro Pod), Customer or Date range, or search by equipment, unit or class name or class schedule ID. Use load more or load all for long lists. Pod hires appear here as bookings on the Hydro Pod's hidden hire service. You can also ask the assistant to list allocations for a session, class, customer, item, unit or date.
Changing Items and Groups Later
The edits this business makes most often:
- Take a pod out for a filter change — in the Units pill set its status to Maintenance with a start date (the end date is optional). It leaves class capacity and standalone hire until it is Active again.
- Change the Therapy Zone capacity — edit Capacity per unit on the item; upcoming sessions are recalculated.
- Change the pod hire price — on the item's edit page; the hire price is Price per block under Advanced → Standalone hire.
