Courts as an Equipment Group
Create one item per court — Court 1 to Court 4 — each with capacity 4, assignment Exclusive, unit display Selectable, and one unit each. Put them in a group called Badminton Courts set to Customer Choice and Required, then link the group to every class and service that needs a court.
The same physical courts serve group training, court rental and private coaching; overrides below change how each service uses them.
Group Training: the Session Owns the Court
Schedule Group Training – Beginners (class size 8) for Saturday 09:00. The session immediately reserves Court 1. The first four players who book are placed on Court 1 without seeing a court picker; the fifth is offered the remaining free courts (Customer Choice) and takes Court 2, which then belongs to the session as well. A court rental at 09:00 cannot be given Court 1 while the session holds it — even before anyone has booked.
Because this is a group class on the calendar, each session reserves one unit of every required, exclusive item when it is scheduled — before anyone books. Attendees are placed on that unit in turn and never pick it; once it is full the next attendee moves to the next free unit (choosing it themselves if the group is Customer Choice). When no unit is free, the session reads as full even if seats remain.
In Equipment → Allocations, and on the session's Equipment tab in the calendar, the court carries a Session badge; use Change unit on that row to move the whole session to another free court.
Court Rental: Doubles Keep the Court, Singles Share It
Doubles Court – 1 Hour and Full Court are appointment services. A booking of two players takes the whole court; the two empty spots are never sold to strangers.
For Single Player Slot add an item override on each court that switches assignment to Shared: up to four single players booking the same hour share one court. The override changes only that service.
For an appointment service every booking is its own session: an exclusive unit is taken whole by the booking that reserves it, and a shared unit is filled by other bookings at the same time up to its capacity.
Rackets, Shuttles and Towels as Add-ons
Create Pro Racket (six units, capacity 1, Exclusive, Selectable, $8) and Standard Racket as Standalone, Optional items linked to the classes. Shuttle tubes, towels and water are Hidden optional items — customers add one and never see a unit name. Optional items never block a booking; when they run out the customer simply cannot add that extra. Add-ons can also be added to an existing booking from the reservation.
Standalone Hire
On the Court 1 item open Advanced → Standalone hire, turn on Available for standalone hire and set Block duration 60 minutes, Price per block $400, Time frame 30 minutes, Buffer time - Open 0, Buffer time - Close 10 minutes and Hire hours 07:00–23:00 daily. Repeat for Courts 2–4; players then hire courts directly, with no appointment service to create.
On the Hire page a player picks Court 2 and a start time; Duration +1 adds an hour as Additional time, Quantity stays 1 (one unit per court), and the plus button is disabled while a coached session holds the next block. Hire is paid in full at booking by the price per block — no passes, and the item's ordinary Price does not apply — and needs Equipment hire among your booking types. You can also ask the assistant to change these settings.
Checking Allocations
Open Equipment → Allocations — the first tab — to see who holds each court. The columns are Equipment, Unit, Customer, Class, Start time, End time and Capacity used; a Session badge marks a unit held for a whole class session. Filter by Class (Group Training – Beginners, Doubles Court), Equipment (Court 1–4), Customer or Date range, or search by equipment, unit or class name or class schedule ID. Use load more or load all for long lists. Court hires booked on the Hire page are listed here too, as bookings on the court's hidden hire service. You can also ask the assistant to list allocations for a session, class, customer, item, unit or date.
Changing Items and Groups Later
The edits this business makes most often:
- Take a court out for resurfacing — in the Units pill set its status to Maintenance with a start date (the end date is optional). It leaves class capacity and standalone hire until it is Active again.
- Give Single Player Slot a Shared court — open Equipment → Classes, select the class or service and choose New Equipment Override (Price Override, Assignment Type Override) or New Group Override (Same Equipment Item Override).
- Change the Pro Racket price or a court's hire price — on the item's edit page; the hire price is Price per block under Advanced → Standalone hire.
Every one of these can also be done by asking the assistant.
