When Not to Use Equipment
A Vinyasa Flow class is limited by the room, not by kit. Set the class size, assign a class room, and create no equipment — customers bring or borrow mats. Creating equipment you do not need to allocate only adds friction.
Aerial Hammocks (Group Class)
Aerial Hammock: 10 units, capacity 1, Exclusive, Required, display Selectable if students like a particular rig point. Scheduling Aerial Yoga reserves Hammock 1; each booking takes the next, so the class caps at ten regardless of the room size and two aerial sessions cannot overlap on the same hammocks.
Because this is a group class on the calendar, each session reserves one unit of every required, exclusive item when it is scheduled — before anyone books. Attendees are placed on that unit in turn and never pick it; once it is full the next attendee moves to the next free unit (choosing it themselves if the group is Customer Choice). When no unit is free, the session reads as full even if seats remain.
Barre and Dance Floor Stations
A Barre is one Shared unit with capacity 12 — a Contemporary Dance class and a private barre lesson at the same time both count against it. Shared equipment is never reserved for a session in advance; it simply fills as people book.
Private Lessons and Mat Hire
A Private Aerial Lesson is an appointment service on the same hammocks: one booking, one hammock, taken whole. Mat and block hire are Optional, Hidden items with a small price.
For an appointment service every booking is its own session: an exclusive unit is taken whole by the booking that reserves it, and a shared unit is filled by other bookings at the same time up to its capacity.
Standalone Hire
On the Aerial Hammock item open Advanced → Standalone hire, turn on Available for standalone hire and set Block duration 60 minutes, Price per block $300, Time frame 30 minutes, Buffer time - Open 5 minutes, Buffer time - Close 5 minutes and Hire hours 12:00–15:00 daily, between the morning and evening classes. Students can then hire a hammock for open practice; the hidden hire service has capacity 10 (ten active hammocks × capacity 1).
On the Hire page a student picks Aerial Hammock and a start time within the hire hours; Quantity 2 takes two hammocks for a pair, Duration +1 adds an hour as Additional time, and the plus buttons are disabled when the next block or hammock is not free. Hire is paid in full at booking by the price per block — no passes, and the item's ordinary Price does not apply — and needs Equipment hire among your booking types. You can also ask the assistant to change these settings.
Checking Allocations
Open Equipment → Allocations — the first tab — to see who holds each hammock and barre place. The columns are Equipment, Unit, Customer, Class, Start time, End time and Capacity used; a Session badge marks a unit held for a whole class session. Filter by Class (Aerial Yoga, Private Aerial Lesson), Equipment (Aerial Hammock, Barre), Customer or Date range, or search by equipment, unit or class name or class schedule ID. Use load more or load all for long lists. Open-practice hires appear here as bookings on the hammock's hidden hire service. You can also ask the assistant to list allocations for a session, class, customer, item, unit or date.
Changing Items and Groups Later
The edits this business makes most often:
- Take a hammock out for a rigging inspection — in the Units pill set its status to Maintenance with a start date (the end date is optional). It leaves class capacity and standalone hire until it is Active again.
- Change the Barre capacity — edit Capacity per unit on the item; upcoming sessions are recalculated.
- Change the mat hire price or the hammock hire price — on the item's edit page; the hire price is Price per block under Advanced → Standalone hire.
