Courts and Their Capacity
Create Center Court and Garden Court as items with capacity 4, Exclusive, one unit each, in a Required Automatic group named Courts. Capacity 4 means a doubles-sized group can fill one court; a clinic of eight will use both.
Clinics and the Junior Academy (Group Classes)
An Adult Beginner Clinic scheduled at 18:00 reserves Center Court the moment the coach puts it on the calendar. Members 1–4 are placed on it automatically; member 5 moves to Garden Court, which the session then holds too. If a member has booked Garden Court for 18:00 in the meantime, the fifth place cannot be filled and the clinic shows as full at five seats — the session never takes a court someone else holds.
Because this is a group class on the calendar, each session reserves one unit of every required, exclusive item when it is scheduled — before anyone books. Attendees are placed on that unit in turn and never pick it; once it is full the next attendee moves to the next free unit (choosing it themselves if the group is Customer Choice). When no unit is free, the session reads as full even if seats remain.
Member Court Hire (Appointments)
Court Hire – 1 Hour is an appointment service linked to the same group but with a Customer Choice group override, so members pick the court they want. A singles booking of two takes the whole court. If you also sell a Cardio Tennis drop-in where strangers share a court, give that service an item override to Shared.
For an appointment service every booking is its own session: an exclusive unit is taken whole by the booking that reserves it, and a shared unit is filled by other bookings at the same time up to its capacity.
Ball Machine and Racket Hire
The Ball Machine is one Standalone, Optional, Exclusive unit with a price — only one booking at a time can add it. Loan rackets are Optional, Hidden units. Neither ever blocks a court booking.
Standalone Hire
On the Garden Court item open Advanced → Standalone hire, turn on Available for standalone hire and set Block duration 60 minutes, Price per block $600, Time frame 30 minutes, Buffer time - Open 0, Buffer time - Close 10 minutes and Hire hours 07:00–22:00 daily. Do the same on Center Court. Members then hire courts directly; this can replace or run beside the Court Hire appointment service.
On the Hire page a member picks Garden Court and a start time; Duration +1 adds an hour as Additional time, Quantity stays 1, and the plus button is disabled while a clinic holds the next block. Hire is paid in full at booking by the price per block — no passes, and the item's ordinary Price does not apply — and needs Equipment hire among your booking types. You can also ask the assistant to change these settings.
Checking Allocations
Open Equipment → Allocations — the first tab — to see who holds each court. The columns are Equipment, Unit, Customer, Class, Start time, End time and Capacity used; a Session badge marks a unit held for a whole class session. Filter by Class (Adult Beginner Clinic, Court Hire – 1 Hour), Equipment (Center Court, Garden Court), Customer or Date range, or search by equipment, unit or class name or class schedule ID. Use load more or load all for long lists. Court hires from the Hire page appear here as bookings on the court's hidden hire service, so clinics, member hire and standalone hire sit in one list. You can also ask the assistant to list allocations for a session, class, customer, item, unit or date.
Changing Items and Groups Later
The edits this business makes most often:
- Take a court out for resurfacing — in the Units pill set its status to Maintenance with a start date (the end date is optional). It leaves class capacity and standalone hire until it is Active again.
- Give Cardio Tennis drop-in a Shared court — open Equipment → Classes, select the class or service and choose New Equipment Override (Price Override, Assignment Type Override) or New Group Override (Same Equipment Item Override).
- Change which court fills first — open Equipment → Groups, open the group and drag the items into priority order.
