Lanes as Exclusive Units
Create Lane with six units (Lane 1–6), capacity 6, Exclusive, Required, display Visible. Link the Standalone item to every class and service that uses the pool.
Learn-to-Swim Classes (Group)
Kids Learn-to-Swim (size 6) reserves Lane 1 when scheduled and its six swimmers fill that lane. Adult Beginner Swimming at the same time reserves Lane 2. A third class at that hour reserves Lane 3, and so on — the calendar refuses a seventh overlapping class with "No Lane is free at this time".
Because this is a group class on the calendar, each session reserves one unit of every required, exclusive item when it is scheduled — before anyone books. Attendees are placed on that unit in turn and never pick it; once it is full the next attendee moves to the next free unit (choosing it themselves if the group is Customer Choice). When no unit is free, the session reads as full even if seats remain.
Lap Swimming and Private Lessons (Appointments)
Lap Swim – 45 min is an appointment service with an item override to Shared: up to six lap swimmers share one lane. Private Lesson keeps the lane Exclusive — one swimmer and the coach take a whole lane.
For an appointment service every booking is its own session: an exclusive unit is taken whole by the booking that reserves it, and a shared unit is filled by other bookings at the same time up to its capacity.
Kickboards, Fins and Lockers
Kickboards and fins are Optional, Hidden items. A Locker can be an Optional, Selectable, priced item if you rent numbered lockers with the session.
Standalone Hire
On the Lane item open Advanced → Standalone hire, turn on Available for standalone hire and set Block duration 60 minutes, Price per block $800, Time frame 30 minutes, Buffer time - Open 0, Buffer time - Close 0 and Hire hours 06:00–21:00 daily. Swim clubs can then hire whole lanes directly. The hidden hire service has capacity 36 (six active lanes × capacity 6); a hire still takes whole lanes by quantity.
On the Hire page a club coach picks Lane and Tuesday 19:00; Quantity 2 takes two lanes, Duration +1 adds an hour as Additional time, and the plus button is disabled while a learn-to-swim session holds the next lane. Hire is paid in full at booking by the price per block — no passes, and the item's ordinary Price does not apply — and needs Equipment hire among your booking types. You can also ask the assistant to change these settings.
Checking Allocations
Open Equipment → Allocations — the first tab — to see who holds each lane. The columns are Equipment, Unit, Customer, Class, Start time, End time and Capacity used; a Session badge marks a unit held for a whole class session. Filter by Class (Kids Learn-to-Swim, Lap Swim – 45 min), Equipment (Lane), Customer or Date range, or search by equipment, unit or class name or class schedule ID. Use load more or load all for long lists. Lane hires appear here as bookings on the Lane's hidden hire service, next to class sessions and lap swims. You can also ask the assistant to list allocations for a session, class, customer, item, unit or date.
Changing Items and Groups Later
The edits this business makes most often:
- Take a lane out for pool cleaning — in the Units pill set its status to Maintenance with a start date (the end date is optional). It leaves class capacity and standalone hire until it is Active again.
- Give Lap Swim – 45 min a Shared lane — open Equipment → Classes, select the class or service and choose New Equipment Override (Price Override, Assignment Type Override) or New Group Override (Same Equipment Item Override).
- Change the Lane capacity — edit Capacity per unit on the item; upcoming sessions are recalculated.
Every one of these can also be done by asking the assistant.
