Poles: Capacity 1, Exclusive, Required
Create Pole as one item with ten units (Pole 1–10), capacity 1, Exclusive, Required, unit display Selectable so regulars can pick a static or spinning pole they know. Link it as a Standalone item to Pole Beginner, Pole Flow and the Private Pole service. Crash Mat is an Optional, Hidden item with ten units.
Group Classes Fill Pole by Pole
Scheduling Pole Beginner (size 10) reserves Pole 1. Each student who books takes the next pole, so the class caps at ten whatever the room size. A Pole Flow session at the same time can only be scheduled while a pole is still free — otherwise the calendar refuses the time with "No Pole is free at this time".
Because this is a group class on the calendar, each session reserves one unit of every required, exclusive item when it is scheduled — before anyone books. Attendees are placed on that unit in turn and never pick it; once it is full the next attendee moves to the next free unit (choosing it themselves if the group is Customer Choice). When no unit is free, the session reads as full even if seats remain.
Private Lessons (Appointments)
Private Pole is an appointment service on the same poles: one student, one pole, taken whole for the hour. Privates and group classes compete for the same ten poles, so a full class leaves no privates at that hour.
For an appointment service every booking is its own session: an exclusive unit is taken whole by the booking that reserves it, and a shared unit is filled by other bookings at the same time up to its capacity.
Standalone Hire
On the Pole item open Advanced → Standalone hire, turn on Available for standalone hire and set Block duration 60 minutes, Price per block $200, Time frame 30 minutes, Buffer time - Open 0, Buffer time - Close 0 and Hire hours 12:00–17:00 daily, between the morning and evening classes. Students can then book open practice without an instructor; the hidden hire service has capacity 10 (ten active poles × capacity 1).
On the Hire page a student picks Pole and a start time within the hire hours; Quantity 2 takes two poles for doubles practice, Duration +1 adds an hour as Additional time, and the plus buttons are disabled when the next block or pole is not free. Hire is paid in full at booking by the price per block — no passes, and the item's ordinary Price does not apply — and needs Equipment hire among your booking types. You can also ask the assistant to change these settings.
Checking Allocations
Open Equipment → Allocations — the first tab — to see who holds each pole. The columns are Equipment, Unit, Customer, Class, Start time, End time and Capacity used; a Session badge marks a pole held for a whole class session. Filter by Class (Pole Beginner, Private Pole), Equipment (Pole), Customer or Date range, or search by equipment, unit or class name or class schedule ID. Practice hires are listed here too, as bookings on the Pole's hidden hire service. Use load more or load all for long lists. You can also ask the assistant to list allocations for a session, class, customer, item, unit or date.
Changing Items and Groups Later
The edits a pole studio makes most often:
- Add an eleventh pole — open the item, choose the Units pill and select Add Unit, or enter a new Total units and select Go.
- Take a pole out for a bearing service — in the Units pill set its status to Maintenance with a start date (the end date is optional). It leaves class capacity and standalone hire until it is Active again.
- Change the practice hire price — Price per block under Advanced → Standalone hire on the Pole item.
Every one of these can also be done by asking the assistant.
