Reformers: Capacity 1, Exclusive, Required
Create Reformer as one item with eight units (Reformer 1–8), capacity 1, Exclusive, Required, unit display Visible. Link it as a Standalone item to Reformer Fundamentals, Tower Small Group and the private session service. At capacity 1 there is nothing to share, so Exclusive simply means one person per machine.
Group Reformer Classes
Scheduling Reformer Fundamentals (size 8) reserves Reformer 1 for the session. Each attendee who books takes the next reformer — the session grows to as many machines as attendees, up to eight. A Prenatal Pilates session at the same time can only be scheduled if a reformer is still free; otherwise the calendar refuses the time with "No Reformer is free at this time".
Because this is a group class on the calendar, each session reserves one unit of every required, exclusive item when it is scheduled — before anyone books. Attendees are placed on that unit in turn and never pick it; once it is full the next attendee moves to the next free unit (choosing it themselves if the group is Customer Choice). When no unit is free, the session reads as full even if seats remain.
Private Sessions and Duets (Appointments)
Private Reformer is an appointment service: one client, one reformer, taken whole for the hour. For a Duet (two clients booking together) the booking simply takes two reformers. Private bookings and group sessions compete for the same eight machines, so a full group class leaves no privates at that hour.
For an appointment service every booking is its own session: an exclusive unit is taken whole by the booking that reserves it, and a shared unit is filled by other bookings at the same time up to its capacity.
Mats, Props and Grip Socks
Mats and props are Optional, Hidden items with plenty of units — customers can add them but they never limit a class. Grip Socks are a priced optional item sold with the booking or added later from the reservation.
Standalone Hire
On the Reformer item open Advanced → Standalone hire, turn on Available for standalone hire and set Block duration 60 minutes, Price per block $350, Time frame 15 minutes, Buffer time - Open 0, Buffer time - Close 10 minutes and Hire hours 07:00–21:00 daily. Experienced clients can then book open practice without an instructor. The hidden hire service has capacity 8 (eight active units × capacity 1) and shares the machines with classes and privates.
On the Hire page a client picks Reformer and a start time; Quantity 2 takes two reformers for a self-guided duet, Duration +1 adds an hour as Additional time, and the plus buttons are disabled when a class holds the rest. Hire is paid in full at booking by the price per block — no passes, and the item's ordinary Price does not apply — and needs Equipment hire among your booking types. You can also ask the assistant to change these settings.
Checking Allocations
Open Equipment → Allocations — the first tab — to see who holds each reformer. The columns are Equipment, Unit, Customer, Class, Start time, End time and Capacity used; a Session badge marks a unit held for a whole class session. Filter by Class (Reformer Fundamentals, Private Reformer), Equipment (Reformer), Customer or Date range, or search by equipment, unit or class name or class schedule ID. Use load more or load all for long lists. Practice hires appear here as bookings on the Reformer's hidden hire service. You can also ask the assistant to list allocations for a session, class, customer, item, unit or date.
Changing Items and Groups Later
The edits this business makes most often:
- Add a ninth reformer — open the item, choose the Units pill and select Add Unit, or enter a new Total units and select Go.
- Take a reformer out for a spring service — in the Units pill set its status to Maintenance with a start date (the end date is optional). It leaves class capacity and standalone hire until it is Active again.
- Change the Grip Socks price or the reformer hire price — on the item's edit page; the hire price is Price per block under Advanced → Standalone hire.
