Training Bays
Create Training Bay with three units (Bay A–C), capacity 2, Exclusive, Required, display Visible. Link it to 1:1 Training, Semi-Private (2:1) and Small Group Strength.
1:1 and Semi-Private Bookings (Appointments)
A 1:1 booking takes a whole bay for the hour even though capacity is 2 — Exclusive means the empty spot is never sold to a stranger. A Semi-Private booking made by two clients together also takes one bay. Three bays therefore mean at most three sessions at once, whatever their size.
For an appointment service every booking is its own session: an exclusive unit is taken whole by the booking that reserves it, and a shared unit is filled by other bookings at the same time up to its capacity.
Small Group Strength (Group Class)
Small Group Strength (size 6) on the calendar reserves Bay A when scheduled; clients 1–2 train there, 3–4 open Bay B, 5–6 open Bay C. While the class holds all three bays, no 1:1 can be booked for that hour — and if a 1:1 already holds Bay C, the class caps at four.
Because this is a group class on the calendar, each session reserves one unit of every required, exclusive item when it is scheduled — before anyone books. Attendees are placed on that unit in turn and never pick it; once it is full the next attendee moves to the next free unit (choosing it themselves if the group is Customer Choice). When no unit is free, the session reads as full even if seats remain.
The Shared Rig and Loan Kit
A Cable Rig used briefly by everyone is one Shared unit with a high capacity, Optional — it is listed for information and never limits a booking. Loan belts and straps are Optional, Hidden.
Standalone Hire
On the Training Bay item open Advanced → Standalone hire, turn on Available for standalone hire and set Block duration 60 minutes, Price per block $250, Time frame 30 minutes, Buffer time - Open 0, Buffer time - Close 10 minutes and Hire hours 06:00–21:00 Monday to Friday, weekends Closed. Clients who train alone between coached sessions can then hire a bay; hires share the same three bays as 1:1 and group sessions.
On the Hire page a client picks Training Bay and a start time; Duration +1 adds an hour as Additional time, Quantity stays 1, and the plus button is disabled while Small Group Strength holds all three bays. Hire is paid in full at booking by the price per block — no passes, and the item's ordinary Price does not apply — and needs Equipment hire among your booking types. You can also ask the assistant to change these settings.
Checking Allocations
Open Equipment → Allocations — the first tab — to see who holds each bay. The columns are Equipment, Unit, Customer, Class, Start time, End time and Capacity used; a Session badge marks a unit held for a whole class session. Filter by Class (1:1 Training, Small Group Strength), Equipment (Training Bay), Customer or Date range, or search by equipment, unit or class name or class schedule ID. Use load more or load all for long lists. Self-training hires appear here as bookings on the Training Bay's hidden hire service. You can also ask the assistant to list allocations for a session, class, customer, item, unit or date.
Changing Items and Groups Later
The edits this business makes most often:
- Add a fourth bay — open the item, choose the Units pill and select Add Unit, or enter a new Total units and select Go.
- Change the bay capacity — edit Capacity per unit on the item; upcoming sessions are recalculated.
- Take a bay out for flooring repairs — in the Units pill set its status to Maintenance with a start date (the end date is optional). It leaves class capacity and standalone hire until it is Active again.
