Equipment for a Massage Spa

Tables per Room

Create the tables as items with capacity 1, Exclusive, Required, one unit each, and group them by room: Massage Tables – Room A (Table A1–A4) and Room B (B1–B3) as Automatic groups, plus Couples Suite Tables (two tables). Link the room groups to the treatment services.

Treatments (Appointments)

A Swedish Massage booking takes one table for its duration and the room follows from the group. Seven tables across the two rooms means seven concurrent treatments; the eighth booking at that time is refused as fully booked.

For an appointment service every booking is its own session: an exclusive unit is taken whole by the booking that reserves it, and a shared unit is filled by other bookings at the same time up to its capacity.

Couples Massage

Couples Massage links the Couples Suite Tables group with Same Equipment Item: Required. A booking for two must get both suite tables together; if only one is free the booking is refused rather than split across rooms.

Partner Massage Workshop (Group Class)

The Partner Massage Workshop (size 8) is a calendar class linked to Room A. Scheduling it reserves Table A1; each booking takes the next table, so the session grows to four tables for four couples and Room A is closed to treatments for those two hours.

Because this is a group class on the calendar, each session reserves one unit of every required, exclusive item when it is scheduled — before anyone books. Attendees are placed on that unit in turn and never pick it; once it is full the next attendee moves to the next free unit (choosing it themselves if the group is Customer Choice). When no unit is free, the session reads as full even if seats remain.

Standalone Hire

Standalone hire does not suit a massage spa — tables are only ever used with a therapist, so leave Available for standalone hire off and keep booking through the treatment services.

Checking Allocations

Open Equipment → Allocations — the first tab — to see who holds each table. The columns are Equipment, Unit, Customer, Class, Start time, End time and Capacity used; a Session badge marks a unit held for a whole class session. Filter by Class (Swedish Massage, Partner Massage Workshop), Equipment (a single table or room group member), Customer or Date range, or search by equipment, unit or class name or class schedule ID. Use load more or load all for long lists. You can also ask the assistant to list allocations for a session, class, customer, item, unit or date.

Changing Items and Groups Later

The edits this business makes most often:

  • Add a Table B4 — open the item, choose the Units pill and select Add Unit, or enter a new Total units and select Go.
  • Take a table out for reupholstering — in the Units pill set its status to Maintenance with a start date (the end date is optional). It leaves class capacity and standalone hire until it is Active again.
  • Change which room fills first — open Equipment → Groups, open the group and drag the items into priority order.
