Bikes and Rowers
Spin Bike: 20 units, capacity 1, Exclusive, Required, display Selectable so regulars can pick their favourite bike. Rower: 10 units, same settings. Link each Standalone item to the classes that use it; HIIT Express links both.
A Spin Class Fills Bike by Bike
Scheduling a Spin session reserves Bike 1. Every booking takes the next bike; with capacity 1 the "next free unit" is simply the next bike, and the class caps itself at 20 riders however large the room is. Because the item is Selectable and Required, a rider can pick a specific bike only when the one the session offers is taken — the studio decides whether that choice matters by setting the display mode.
Because this is a group class on the calendar, each session reserves one unit of every required, exclusive item when it is scheduled — before anyone books. Attendees are placed on that unit in turn and never pick it; once it is full the next attendee moves to the next free unit (choosing it themselves if the group is Customer Choice). When no unit is free, the session reads as full even if seats remain.
Small-Group Strength on Racks
Squat Rack: 4 units, capacity 2, Exclusive, Required (two lifters share a rack). A Strength & Conditioning session (size 8) reserves Rack 1 when scheduled; lifters 1–2 fill it, 3–4 open Rack 2, and so on. Two strength sessions at the same time need enough free racks between them, or the second cannot be scheduled.
Gloves, Mats and Heart-Rate Straps
Rental gloves and heart-rate straps are Optional items with a price; mats are optional and free. They are offered on the booking screen and can be added to an existing reservation, and they never block a class.
If you also run one-to-one sessions as an appointment service, every booking is its own session: an exclusive unit is taken whole by the booking that reserves it, and a shared unit is filled by other bookings at the same time up to its capacity.
Standalone Hire
On the Squat Rack item open Advanced → Standalone hire, turn on Available for standalone hire and set Block duration 60 minutes, Price per block $200, Time frame 15 minutes, Buffer time - Open 0, Buffer time - Close 5 minutes and Hire hours 06:00–22:00 daily. Members can then book open-gym rack time between classes. The hidden hire service mirrors the item's name, photo and location; its capacity is active units × capacity per unit (4 × 2 = 8).
On the Hire page a member picks Squat Rack and a start time; Duration +1 adds an hour as Additional time, and the plus button is disabled while a Strength & Conditioning session holds the racks. Hire is paid in full at booking by the price per block — no passes, and the item's ordinary Price does not apply — and needs Equipment hire among your booking types. You can also ask the assistant to change these settings.
Checking Allocations
Open Equipment → Allocations — the first tab — to see who holds each bike, rower and rack. The columns are Equipment, Unit, Customer, Class, Start time, End time and Capacity used; a Session badge marks a unit held for a whole class session. Filter by Class (Spin, HIIT Express), Equipment (Spin Bike, Rower, Squat Rack), Customer or Date range, or search by equipment, unit or class name or class schedule ID. Use load more or load all for long lists. Rack hires appear here as bookings on the Squat Rack's hidden hire service. You can also ask the assistant to list allocations for a session, class, customer, item, unit or date.
Changing Items and Groups Later
The edits this business makes most often:
- Add a 21st bike — open the item, choose the Units pill and select Add Unit, or enter a new Total units and select Go.
- Take a bike out for a broken pedal — in the Units pill set its status to Maintenance with a start date (the end date is optional). It leaves class capacity and standalone hire until it is Active again.
- Change the glove rental price or the rack hire price — on the item's edit page; the hire price is Price per block under Advanced → Standalone hire.
