Equipment for a Dental Practice

Dental chairs per patient and the one X-ray room every chair shares — appointments only, with equipment as the real capacity limit.

Dental Chairs

Dental Chair: four units, capacity 1, Exclusive, Required, Hidden. Link it to check-ups, hygiene visits and treatments. Four chairs cap the practice at four patients at once, whatever the roster says.

Appointments

Every booking takes one chair for its duration. A long treatment blocks its chair for the whole slot; the next patient is placed on another chair or told the time is full.

For an appointment service every booking is its own session: an exclusive unit is taken whole by the booking that reserves it, and a shared unit is filled by other bookings at the same time up to its capacity.

The Shared X-ray Room

X-ray Room: one unit, capacity 1, Exclusive, Optional. It is needed for minutes, so keep it Optional — a check-up is never refused because the X-ray room is busy. Model X-rays that must be scheduled as an appointment add-on instead.

No Group Classes

A practice runs no calendar classes, so no chair is ever reserved for a session in advance. Chairs are taken only by bookings and released the moment a booking is cancelled.

Standalone Hire

Standalone hire does not apply to a dental practice — a chair is never used without a dentist, so leave Available for standalone hire off.

Checking Allocations

Open Equipment → Allocations — the first tab — to see who holds each chair. The columns are Equipment, Unit, Customer, Class, Start time, End time and Capacity used; a Session badge marks a unit held for a whole class session. Filter by Class (Check-up, Hygiene Visit), Equipment (Dental Chair, X-ray Room), Customer or Date range, or search by equipment, unit or class name or class schedule ID. Use load more or load all for long lists. You can also ask the assistant to list allocations for a session, class, customer, item, unit or date.

Changing Items and Groups Later

The edits this business makes most often:

  • Add a fifth chair — open the item, choose the Units pill and select Add Unit, or enter a new Total units and select Go.
  • Take a chair out for servicing — in the Units pill set its status to Maintenance with a start date (the end date is optional). It leaves class capacity and standalone hire until it is Active again.
  • Give a long treatment a different equipment price — open Equipment → Classes, select the class or service and choose New Equipment Override (Price Override, Assignment Type Override) or New Group Override (Same Equipment Item Override).

Every one of these can also be done by asking the assistant.
