What is Google Calendar sync?
Google Calendar sync automatically adds your booked classes to your personal Google Calendar. This means:
- Your class schedule appears alongside your other appointments
- You get reminders from Google Calendar before each class
- Changes sync automatically - if a class is cancelled or rescheduled, your calendar updates
- Access your schedule from any device where you use Google Calendar
Who can use this feature:
- Customers: Sync classes you're attending
- Instructors: Choose between the classes you're attending, or those plus the classes you teach
- Administrators: Sync your personal class schedule
How do I connect my Google Calendar?
Follow these steps to connect your Google Calendar:
- Log in to your account on the booking website or app
- Go to Account
- Tap Google Calendar — it opens as a panel over the account screen
- Tap Connect with Google
- Sign in with your Google credentials and grant permission
- When you return, the panel shows your Google name, email and a green Connected badge
Note: Only classes in the future are synced to your calendar. Past classes are never added.
What sync options are available?
Under Sync Settings you choose what gets added to your calendar. Your choice is saved as soon as you tap it — there is no separate save button, and the events resync straight away.
Everyone sees:
- Reservations Only — only the classes you have booked
Instructors also see:
- Taught Classes + Reservations — the classes you teach as well as your own bookings
Instructors can pick either one, so you can sync only your own bookings and leave your teaching schedule out.
Account admins may additionally see All Classes, but only if that option is already selected.
Whichever option you choose, only classes in the future are synced.
How does automatic syncing work?
Once connected, eligible OB classes and services are sent to your Google Calendar automatically:
- New bookings: when you book a class it is added to your Google Calendar
- Cancellations: if you cancel a booking the event is removed
- Schedule changes: if a class time changes the event is updated
Each change is queued rather than written instantly, so give it a moment. Most events appear within a minute. The first sync after connecting queues your whole eligible schedule one class at a time, so a large schedule can take five minutes or more to finish.
To watch progress, open Calendar events in the panel. The number beside it is the total number of upcoming OB event mappings, including events that are pending, synced, being removed, removed, or in error. Tap Refresh on the main panel to queue a fresh sync of everything eligible.
This is not two-way availability sync: OB does not import your private Google Calendar events, and a private Google event does not block an appointment time in OB.
How do I check the status of an event?
Open Account → Google Calendar → Calendar events to see the OB events managed for your connected calendar, grouped by month.
Two tabs are shown, each with a count:
- Upcoming — classes still to come, ordered by class time. This is the list worth acting on.
- Past — classes from the last 30 days, newest first, for reference.
Each row leads with the date and time, then the class name and location, and carries a status:
- Synced — the event is on your Google Calendar
- Pending — queued, waiting for Google to confirm
- Removing — we are deleting it from your calendar
- Removed — no longer on your calendar
- Error — the last attempt failed
Swipe an event left for two actions: Resync to try it again, and Remove to delete it from your Google Calendar. Removed upcoming events stay in the list so you can resync them later.
This list contains OB class/service mappings only. It does not show unrelated private events from your Google Calendar.
Why isn't my event showing in Google Calendar?
Work through these in order — most cases are the first one.
- Give it a few minutes. Events are queued, not written instantly. A single booking usually appears within a minute, but the first sync after connecting queues your whole schedule one class at a time and can take five minutes or more.
- Check the event's status. Open Calendar events. If the row says Pending, it is still queued — leave it. If it says Error, swipe left and tap Resync.
- Check it is in the future. Only upcoming classes are synced. A class that has already started is never added.
- Check your sync setting. If you are an instructor on Reservations Only, the classes you teach are deliberately excluded. Switch to Taught Classes + Reservations.
- Check the right Google account. The panel shows which account is connected. If it is not the calendar you are looking at, disconnect and reconnect with the right one.
- Force a full resync. Tap Refresh on the Google Calendar panel to requeue everything.
- Still nothing? Disconnect and reconnect. If Google has rate-limited the account you will see a warning on the panel — wait and try again later.
How do I disconnect my Google Calendar?
To disconnect your Google Calendar:
- Go to Account → Google Calendar
- Click the Disconnect button
- OB queues removal of its managed calendar events, then marks the connection disconnected
Removal is processed in the background, so events can remain visible briefly while their status is Removing. OB will no longer add or update events after the connection is disconnected. You can reconnect at any time.
Why can't I see the Google Calendar option?
If you don't see the Google Calendar option in your account:
- Feature not enabled: The studio may not have enabled Google Calendar sync. Contact the studio administrator to request this feature.
- Custom feature: Google Calendar is a custom feature that needs to be enabled by the studio in their settings.
For administrators: To enable Google Calendar sync for your customers and instructors, go to Custom Features and enable the Google Calendar integration.
