Moving a customer onto a different pass no longer means cancelling, refunding and re-issuing.
- Ask the admin assistant to convert the visits or points a customer has not used yet into a different pass of the same type - for example moving a child from one age-group package to the next.
- The assistant now opens one short form where you pick the customer, the pass they already own, the pass to convert to, how many unused units to move and an optional note - no typing of names or codes.
- You review and approve the conversion once, and it is carried out in a single step.
- The original pass keeps its payment record, its past and upcoming bookings and its own history; only its unused balance goes down.
- The new pass keeps the original start and expiry dates, stays with the same family member, costs nothing and sends no purchase email to the customer.
- Intake forms filled in during checkout are no longer lost, and photos you send to the assistant are now looked at straight away instead of waiting for the upload to finish.
