SimplyBook.me offers two different types of waiver features: Terms and Conditions and Pass Terms and Conditions. This article explains the key differences between them to help you choose the right one for your business needs.

Terms and Conditions

Purpose: A general waiver that all customers must sign to use your booking system.

Best for:

  • General liability waivers
  • Privacy policies
  • Business rules that apply to all customers
  • Health and safety acknowledgments

How it works:

  1. Customer registers for an account
  2. Terms and Conditions waiver appears
  3. Customer must agree (or sign) before accessing the system
  4. Customer can now make bookings and purchases

The waiver can appear again after login if you update the terms and enable "Reset on update".

Pass Terms and Conditions

Purpose: Specific waivers for different types of passes or memberships.

Best for:

  • Membership agreements specific to certain packages
  • Equipment liability waivers for specific classes
  • Cancellation policies that vary by pass type
  • Special terms for premium memberships

How it works:

  1. Customer selects a pass to purchase
  2. At checkout, the linked waiver appears
  3. Customer must agree (or sign) to complete the purchase
  4. Pass is activated after agreement

If an admin assigns a pass from the backend, the waiver will automatically appear to the customer the next time they access the system.

Which Should You Use?

Use Terms and Conditions when:

  • You need all customers to agree to the same general terms
  • You have standard liability or privacy policies
  • You want customers to sign once when they register

Use Pass Terms and Conditions when:

  • Different passes require different agreements
  • You have specific terms for premium vs basic memberships
  • Certain equipment or activities require additional waivers
  • You need customers to acknowledge terms specific to what they're purchasing

Use both when:

  • You want general terms for all customers PLUS specific terms for certain passes
  • Customers sign the general terms at registration, then sign pass-specific terms at checkout

Common Settings

Both features share these settings:

  • Signature Required - Require customers to digitally sign instead of just clicking agree
  • Reset on Update - Require customers to re-sign when you update the terms
  • Reset Button - Manually require customers to sign again
  • Version History - Track all versions and who signed each one
