How to download the attendance list for a class

Export your class attendance records to Excel or CSV format for reporting, record-keeping, or further analysis. The exported file includes customer names, attendance status, pass information, and when applicable, a dedicated column showing which dependent attended on behalf of the primary account holder.

How do I access the attendance list for download?

To access the attendance list for a class:

  1. Go to Calendar in the admin menu
  2. Click on the class you want to view
  3. Click on the Attendees tab
  4. You will see the View customers attending section with a table showing all booked customers

From this page, you can view all attendance information and export the data.

How do I download the attendance list as Excel or CSV?

To export the attendance list:

  1. Navigate to the Attendees tab of your class
  2. Look for the export buttons at the top right of the table
  3. Click either:
    • Excel button to download as .xlsx file
    • CSV button to download as .csv file
  4. The file will be generated and downloaded automatically

Tip: Excel format is recommended for most users as it preserves formatting and is easier to work with in spreadsheet applications.

What information is included in the exported file?

The exported attendance file includes the following columns:

  • Name: The customer's full name (account holder)
  • Dependency: If a dependent attended on behalf of the primary account holder, their name appears here
  • Attendance: Whether the customer attended (Yes/No) or if the class is upcoming
  • Pass: The pass used to book the class and remaining credits
  • Intake Form: Whether the customer completed the intake form (if enabled)
  • Feedback: Whether feedback was submitted (if enabled)
  • Reservation Date: When the booking was made
  • Total Passes: Number of passes the customer has purchased
  • Total Attendances: Total number of classes the customer has attended

Note: The Dependency column only appears when at least one attendee is a dependent.

How does the Dependency column work?

When a customer books a class on behalf of a dependent (such as a child or family member), the exported file clearly shows both parties:

  • Name column: Shows the primary account holder's name (the person who owns the pass)
  • Dependency column: Shows the dependent's name (the person who actually attended the class)

Example:

  • Name: John Smith
  • Dependency: Emily Smith (John's daughter who attended the class)

This makes it easy to distinguish between who made the booking and who actually attended, ensuring your attendance records are accurate and complete.

Importance of exporting class attendance reports:

  • Maintain precise records that reflect who physically attended each session, which is essential for safety compliance and accurate tracking
  • Easily identify the relationship between the account holder who made the booking and the individual who actually participated in the class
  • Generate comprehensive reports that support business analytics, payroll calculations, and operational decision-making

Can I customize which columns appear in the export?

Yes, you can customize the columns before exporting:

  1. Click the Columns button (settings button) at the top of the table
  2. Check or uncheck the columns you want to include
  3. The table will update to show only your selected columns
  4. When you export, only the visible columns will be included in the file
