If there is a need for "Points to class pass" conversion, businesses can refer to this guide to setup.

Steps to Change from a Class Pass System to a Points System

To change the billing method from "per class" to "points," you can follow the steps below:

⛔ Reminder: During the setup period to avoid billing confusion and prevent customers from booking classes, it is recommended that you "do not allow reservations during the conversion period" and notify customers to wait until you complete the conversion before making reservations.
⛔ Do not delete any classes from the "Classes" page or schedules from the "Schedules" page. Deleting them will remove the system's class histories and refund all reserved students' class credits/points. This action cannot be undone.

*If you need to hide them, please use the "Archive" function to hide the items.

💡 Method to pause all customer reservations:

  1. Disable the custom feature "Customer Login." (Please apply for temporary closure of this feature through the feedback function or contact your representative)
  2. Or, utilize the custom feature "Pause Account" → "Suspension Booking" to suspend customer reservation functionality. (If this feature is not enabled, please contact your representative to enable it temporarily)

Steps to Change from a Points System to a Class Pass System (Please Complete in Order):

(1)Please contact your representative to request the activation of "point system" and temporarily enable "pause account" to facilitate the suspension of student reservation functionality during the operation period.

🔔After enabling "point system," the term "class" in the system will be changed to "points."

*Businesses cannot independently enable or disable custom features. Please contact your representative to request changes to functionalities, or submit a request to the engineering team through the feedback system.

(2)Create new classes on the "Classes" page to replace all existing classes.

🔔 It is not recommended to adjust the class points for existing classes. Modifying the class points for existing classes will affect the used points on all customer passes, leading to confusion in class revenue financial figures.

🔔 Once old classes are no longer offered, use the "Archive" function to hide them.

Do not delete old classes.

(3)Replace old classes with the "new classes created in step (2)" on the schedule page.

🔔Create new schedules to replace old classes.

● For example, if point-based billing is starting in July:

🔔Add new schedules starting from July.

🔔If customers have already booked classes after July, re-enroll them in the new classes.

🔔Terminate or cancel old classes scheduled after July.

Do not delete any schedule items. Deleting schedule items will refund all reserved student passes' class credits/points, both past and future, and this action cannot be undone.

(4)Create new point-based passes on the "Passes" page and "bind only to the new classes created in step 2," without binding them to old classes.

🔔New passes and old passes are not interchangeable. Only new passes can be used to book point-based classes to avoid confusion between old and new passes.

🔔Once old passes are no longer sold, use the "Archive" function to hide them.

Do not delete old passes.

(5)Subtract the remaining class credits from all students' current passes and replace them with the corresponding points of the new passes.

🔔If there is a need to calculate finances, ensure that the "amount" of old and new passes matches the conversion ratio.

🔔Since old passes are not applicable to the new classes, they need to be replaced with new passes.
