What is a scheduled course?
A scheduled course is a complete series of classes that run over multiple weeks or sessions. Unlike one-off classes (single events) or repeating classes (ongoing weekly), scheduled courses have a defined beginning and end, with students enrolled for the entire duration.
Common examples of scheduled courses:
- Beginner Yoga 8-Week Program: A structured course for new students
- Summer Dance Intensive: A 4-week intensive program
- Prenatal Pilates Series: A 6-week course for expecting mothers
- Kids Art Class Term 1: A semester-long program for children
Key benefits:
- Simplified enrollment: Add students once for all classes in the series
- Better planning: Know your attendance for the entire term in advance
- Cohort learning: Students progress together through the curriculum
- Easy management: Track the entire course from one place
How do I create a scheduled course?
Follow these steps to create a scheduled course:
- Go to Schedule in the admin menu
- Click the Schedule courses tab
- Click the + NEW button
- Enter a Name for your course (e.g., "Beginner Yoga Spring 2024")
- Select the Class type this course is based on
- Add a Cover Photo (optional but recommended)
- Set up the Course Days - the specific dates and times for each session
- Configure class size, instructor, and other settings
- Click SAVE to create the course

How do I add class dates to a scheduled course?
When creating a scheduled course, you'll need to specify when each class session occurs:
Adding individual dates:
- In the course creation/edit screen, find the Course Days section
- Click Add Day for each session
- Select the Date and Time for that session
- Repeat for all sessions in the course
Tips for setting up dates:
- You can add dates in any order - they'll be sorted automatically
- Each date can have a different time if needed
- Leave out dates for holidays or breaks
- The total number of sessions will be shown in the course summary
For example, an 8-week yoga course might have 8 dates set for every Monday from January 8 to February 26, skipping any holidays.
How do I enroll students in a scheduled course?
Once your scheduled course is created, you can enroll students who will attend all sessions:
To enroll students:
- Open the scheduled course from your list
- Find the Enrolled Students or Course Roster section
- Click Add Student
- Search for and select the student(s) to enroll
- The student will be automatically added to all class dates in the course
Benefits of course enrollment:
- Students don't need to book each class individually
- Attendance is tracked across the entire course
- You can see who's enrolled before the course starts
- Easy to manage waitlists for popular courses
What's the difference between scheduled courses, repeating classes, and one-off classes?
Understanding when to use each scheduling type:
| Feature | Scheduled Course | Repeating Class | One-off Class |
|---|---|---|---|
| Duration | Fixed start and end dates | Ongoing, no end date | Single occurrence |
| Enrollment | Students enroll for entire course | Students book individual classes | Students book single class |
| Best for | Term programs, workshops, intensives | Regular weekly classes | Special events, guest teachers |
| Booking style | Commit to full series | Drop-in or recurring | One-time attendance |
Choose scheduled courses when:
- You want students to commit to a complete program
- The curriculum builds progressively over sessions
- You need to know enrollment before the course starts
- You're offering term-based or semester pricing
How do I edit or cancel a scheduled course?
To edit a scheduled course:
- Go to Schedule → Schedule courses
- Click on the course you want to edit
- Make your changes (dates, times, enrollment, etc.)
- Click SAVE
To cancel a scheduled course:
- Open the course from your list
- You can either delete individual dates or the entire course
- If students are enrolled, they will be notified of the cancellation
To cancel a single session:
If you need to cancel just one date within a course (e.g., due to a holiday), you can remove that specific date without affecting the rest of the course. Go to the course, find the date you need to cancel, and remove it from the schedule.
Note: Any changes to dates or cancellations should be communicated to enrolled students in advance.
